Job Title: Front office cum office Manager

Location: Dubai, UAE

 

Job Summary

We are seeking a highly organized and proactive Workplace Services Manager to oversee comprehensive workplace management and corporate real estate operations. The role is responsible for ensuring a safe, well-maintained, and efficient workplace environment while managing vendor relationships and strategic planning initiatives. This position requires strong analytical thinking, problem-solving skills, and the ability to operate in a dynamic, service-oriented environment.


Key Responsibilities

Workplace Management & Administration

  • Oversee day-to-day workplace operations, ensuring smooth functioning of essential services including housekeeping, security, and office administration.
  • Manage office supplies, seating allocation, and overall workplace requirements to enhance employee experience.

Maintenance & Infrastructure Oversight

  • Coordinate and monitor routine maintenance, repairs, and inspections of building systems (HVAC, electrical, plumbing, fire & safety, etc.).
  • Develop and implement preventive maintenance plans to ensure operational continuity and minimize service interruptions.

Vendor & Contract Management

  • Manage relationships with external service providers including housekeeping, security, and maintenance vendors.
  • Oversee contract renewals, negotiations, and performance evaluations to ensure service excellence.

Health, Safety & Compliance

  • Ensure compliance with all health, safety, regulatory, and environmental standards within the workplace.
  • Conduct periodic safety audits, risk assessments, and maintain emergency response plans and drills.

Space & Workplace Optimization

  • Optimize workspace utilization, plan office layouts, and oversee fit-out, refurbishment, and relocation projects in collaboration with relevant teams.

Budgeting & Cost Management

  • Prepare, monitor, and manage workplace operating budgets, ensuring cost-effectiveness without compromising service quality.
  • Identify opportunities for cost savings and efficiency improvements across workplace operations.

Reporting & Stakeholder Communication

  • Prepare workplace performance reports, maintenance schedules, and vendor performance updates.
  • Act as the key liaison between internal stakeholders, leadership teams, and vendors for all workplace-related matters.

Skills & Competencies

  • Strong analytical thinking and problem-solving capabilities.
  • Customer-focused mindset with proven ability in stakeholder management.
  • High attention to detail, strong organizational and multitasking skills.
  • Proficiency in workplace management tools, vendor management platforms, and MS Office Suite (Excel, PowerPoint, Word).
  • Background of hotel industry.

 

Key Requirements

  • ·Bachelor’s degree in Business Administration, Facilities/Operations Management, or equivalent field (preferred).
  • 4-8 years of experience in workplace management, corporate real estate, or facility operations, ideally in a corporate or multinational organization.
  • Hands-on experience in vendor management, asset management, and workplace administration.
  • Understanding of maintenance processes, safety norms, compliance requirements, and cost control practices.
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word) and familiarity with workplace management systems.
  • Strong communication, interpersonal, and stakeholder-management skills.
  • Excellent attention to detail, planning, coordination, and follow-through.
  • Ability to multitask, prioritize, and work efficiently under pressure.
  • High ownership, reliability, and discretion.
